Operations & Client Services Department

Each day is something different in this position as you work with clients, travel agents and our vendors and suppliers across the globe. This positon is the link between sales and suppliers and focuses on delivering the travel dreams which are the foundation of INCA’s reputation.

Position Duties (subject to change)

  • Provide excellent customer service to high-end clientele
  • Communicate with vendors, including reservation and confirmation of hotels, yachts, ships and associated client services for fixed and custom departures
  • Communicate with clients about their upcoming trip services and documents; receiving and processing these documents
  • Work with sales team to create custom travel experiences
  • Manage client reservations from time of booking to return from trip
  • Confirm all travel arrangements with vendors for weekly trip departures
  • Create all pre-trip client documentation including client’s detailed itinerary, hotel and service vouchers, and other relevant information
  • Create client packets for mailing
  • Audit of vendor invoices against confirmed client hotel and service requests
  • Receive incoming client payments
  • Manage company inventory
  • Learn in-house reservation system
  • Participate in shared office tasks
  • Learn our trips and destinations in detail so as to be able to answer almost any client question
  • Answer phones and client questions
  • Review client services and operations systems for efficiency
  • Additional duties to be developed

Additional Voluntary Participation

The following may or may not be a part of your time at INCA

  • Travel to destinations to meet vendors and to learn first-hand the INCA experience
  • Travel Trade Shows which may be within the US or outside the US
  • Representing INCA at promotional, industry, or other events
  • Writing articles for INCA’s weekly newsletter
